Workplace Planning Tools

Workplace Planning Tools

Workplace Planning Tools help you turn insights from the needs analysis into a concrete foundation for the next stage of workplace planning. Through the tool’s four modules, you can right-size the office, define equipment requirements by area, estimate costs for furniture and other inventory, and assess the project’s environmental impact based on reuse versus new purchases.

Find out how well your workplace supports employees’ needs. Complete our short self-assessment and get a direct summary using Workplace Adequacy™ to help you prioritise the right next steps.

An overview of the tool’s four modules

  • Image Spaces
    Spaces

Define which types of spaces you need and how many workpoints are required. Spaces helps you create the right mix of environments, such as workpoints, quiet rooms, collaboration areas, meeting rooms, project spaces and agile zones — so the office supports your ways of working. You’ll also get an estimate of total floor area and can easily adjust parameters to suit your conditions.

  • Image Equip
    Equip

Ensure each space is equipped to match the organisation’s needs. You can use predefined values by room type or tailor the equipment to your own standards. The result is a complete inventory list for all office environments.

  • Image Predict
    Predict

Get a robust cost estimate for new purchases — taking into account what can be reused from your current office. You can use our suppliers’ price lists or replace them with your own. The tool also provides cost levels that create a clear budget range to support decision-making.

  • Image Footprint
    Footprint

Assess the environmental impact of your workplace project and get support in deciding the extent of reuse. Footprint is based on the relationship between reused and newly purchased inventory, and can also be used as input for climate targets and sustainability requirements.

Five principles for future-ready workplaces

There are many opinions about offices and ways of working. The Workplace Adequacy™ framework brings together five principles that help you make decisions that stand the test of time — whether you are developing a traditional workplace, a hybrid office or an activity-based working approach.

Right-sizing

Sizing the workplace based on how it is actually used helps reduce both overcrowding and empty space. When it’s easy to find the right environment for the right activity, everyday work runs more smoothly. A better-aligned set-up can also support clearer decisions about space and cost.

Diversify

Different tasks require different environments. By combining multiple types of spaces — for focus work, meetings, collaboration and informal work — the office is more likely to be used as intended. The aim is a mix that reflects employees’ needs and the organisation’s ways of working.

Facilitate collaboration

Collaboration rarely happens on its own. The workplace needs to support it through the right spaces, clear structures and simple ways to coordinate. The physical environment can create the conditions, while guidelines and habits help collaboration work in practice.

Increase usability

People often choose what is easiest. When key spaces are easy to find, understand and use, the workplace is more likely to support desired behaviours. Small barriers in flows, access or clarity can otherwise prevent well-designed spaces from being used.

Insight through participation

Participation creates both stronger decision-making foundations and better buy-in. By involving the right people at the right level, you gain insights into needs and ways of working — while more people understand the direction and can help the change work in everyday practice.
